The Department of Pathology & Immunology is seeking a business operations coordinator to join our administrative team. This position provides support to researchers and clinicians at all levels and plays a vital role in our day-to-day operations. The position requires excellent organizational skills and the ability to multi-task in a fast-paced environment. The ideal candidate will possess great customer service skill, self-motivation, attention to detail, and a willingness to learn and assist others.

Job Purpose

Provide support to the department by processing purchasing orders, managing travel, maintaining calendars, and composing correspondence.

Job Duties

  • Prepares and processes purchasing orders for the department.
  • Manages encumbrances for all accounts.
  • Manages business card purchases and reallocate expenses.
  • Assists end users with questions regarding orders, i.e. status, rushes, etc.
  • Serves as liaison with Purchasing Department personnel to ensure timely and efficient processing on orders and order payments.
  • Processes work requisitions and move requests.
  • Routes incoming faxes.
  • Receives and logs incoming packages and distribute accordingly.
  • Answers office phones, screens phone calls and routes them accordingly.
  • Works closely with department Grants office staff with needs related to encumbrances, purchase order, and journal vouchers on grant accounts.
  • Maintains Departmental equipment service agreements.
  • Processes all catering requests and maintains catering request calendar.
  • Serves as approver for the departmental conference room calendars.
  • Maintains supply room inventory.
  • Maintains Xerox copier codes updated, assist personnel with Xerox machine needs and maintenance.
  • Serves as back up to the travel desk associate.
  • Assists with special projects when requested.

Minimum Qualifications

  • High School diploma or GED.
  • Two years of relevant experience. 

Preferred Qualifications

  • SAP experience.
  • SRM experience.
