The Department of Surgery at Baylor College of Medicine is seeking an experienced and reliable coordinator to support the activities of the APPs and two staff surgeons at Baylor’s very busy and acclaimed affiliated hospital, Ben Taub. This position requires an individual who is highly organized, motivated, and eager to work with a group of dedicated healthcare providers in a busy county hospital setting. Excellent computer skills are required.

Job Duties

  • Provides administrative support to Ben Taub Surgery staff surgeons and APPs Coordinate faculty/APP schedules, including standing meetings and operative schedules.
  • Facilitates communication between faculty, APPs and patients, students, and referring physicians as required.
  • Answers phones and manages voicemail; take accurate caller/return call info and assure faculty receives and returns calls, as needed.
  • Maintains CME records and academic RVU data and input into BCM systems RVU systems.
  • Maintains CV and assist with timely completion of all licensing (Texas Medical, DEA), credentialing (BCM affiliated hospitals), certification (American Board of Surgery, American Board of Thoracic Surgery) and professional society (American College of Surgeons, Society of Thoracic Surgeons, etc..) membership.
  • Maintains calendar to ensure that essential components do not lapse.
  • Assists with scheduling work-related travel and processing reimbursements via Concur.
  • Processes all reimbursement requests and ensures that reimbursement is processed.
  • Closes loop communication to confirm completion of reimbursement.
  • Manages office supplies, inventory, and mail.
  • Schedules small group meetings (in person or via Zoom) with students, residents, or faculty, as required, using Doodle, Zoom, Webex, and Microsoft Teams.
  • Assures completion of assigned tasks with closed-loop communication.
  • Transcribes dictation and assists in the preparation of manuscripts and documents.
  • Maintains a "deadline" calendar for commitments (meetings, chapters, etc.), and assure the deadlines are met.
  • Develops/maintains filing system for correspondence, travel, meeting, and other related activities so that data can be retrieved efficiently - can be digital or hard copy.

Minimum Qualifications

  • High School diploma or GED.
  • Two years of relevant experience. 

Preferred Qualifications

  • Three years of secretarial experience, preferably in the medical field.
  • Must be able to operate standard office equipment.
  • Must be able to demonstrate proficiency in Microsoft Word Excel Access.
  • Is able to maintain clear, courteous, professional communication with faculty, residents, and hospital personnel regarding mutual expectations.
  • Takes personal responsibility and accountability for correcting issues in a professional and expeditious manner.
