Summary

A Coordinator of Continuing Medical Education (CME)/Coordinator, Business Operations position is available in the Section of Neonatology with the Department of Pediatrics, Baylor College of Medicine. The Coordinator, Business Operations will support the Pediatrics - Newborn Section in being the Section's CME coordinator, conference planner and managing the Section's contracts. Will submit applications to BCM and TCH to get CME credit-status for internal conferences (daily), grand rounds (weekly), and conferences the Section hosts (annually). Conference planning support will include, CME-required documentation, contract preparation to be reviewed by Section Administrator, and following the routing process through BCM's process (and responsibility for storing contracts in Section files) and other planning functions of a conference (zoom/in person, registration, payment taking, etc.).   The Section needs someone to faciliate these many events with professionalism and organization to ensure all details are considered and the outward appearance of the Section from these conferences, etc. is clean, professional and well-organized.


 

Job Duties

  • Assist in creating educational materials including MS Word and PowerPoint presentations
  • Create and reports results of surveys and polls using print and electronic formats
  • Track accreditation status of CME programs and provides timely and accurate notifications
  • Review CME provider documents for completeness, formats and payments, when due
  • Update content, forms and attachments for public consumption
  • Draft document, prepares materials and packets for meetings, etc
  • Create and/or maintains datasets
  • Serve as documentation historian including filing and tracking documents, managing the shared drive, etc.
  • Provide general administrative support: answers phones, makes copies, scans documents, schedules and sets up conferences, meetings and webinars
  • Monitor expenses requests for reimbursement
  • Deploy sound judgment to keep supervisors and team members aware of events with impact on key operations
  • Ability to manage multiple projects and adhere to strict deadlines

Minimum Qualifications

  • High School diploma or GED.
  • Two years of relevant experience.

  • Exemplary customer service approach in communicating with internal and external stakeholders
  • Skilled problem solver, with ability to quickly adapt to changing priorities and heavy workloads 
  • Excellent organizational and prioritization skills; rigorous attention to detail
