The mission of the Baylor College of Medicine Office of the Registrar is to provide professional and courteous service to students, alumni, faculty and staff for all academic schools forming the educational community at Baylor College of Medicine. The Office of the Registrar ensures that it dedicates its resources to promoting the mission, vision and values of Baylor College of Medicine. The Office of the Registrar works closely with the offices of Admissions, Student Affairs, Student Financial Aid and Alumni Relations. The Office of the Registrar is seeking a qualified candidate for the Registrar’s Office Support Coordinator.

Job Duties

  • Manages the Office of the Registrar main telephone line and voicemail in a courteous and professional manner.
  • Greets individuals (students, staff, faculty, etc.) who visit in a friendly and welcoming manner.
  • Processes payroll for the Office of the Registrar o Makes deposits for any monies received by the Office of the Registrar (i.e. visiting student fees) o Manages and process requests from the Office of the Registrar generic email inbox.
  • Manages the Registrar’s calendar along with scheduling meetings.
  • Maintains office orders for supplies (letterhead, transcript paper, envelopes, etc.).
  • Distributes daily mail o Processes check requests/reimbursements in a timely and efficient manner.
  • Processes all transcript requests (online and paper).
  • Notarizes documents as needed o Processes all verifications of enrollment (paper, FCVS, IMG, etc.).
  • Manages ad hoc inquiries from the National Student Clearinghouse o Processes general record updates (i.e. address, name changes, visa updates, SSN updates, etc.).
  • Manages processing for all forms that are submitted to the Office of the Registrar in a timely manner (i.e. licensure requests, How May We Help, etc.).
  • Maintains log of time to completion for all requests.
  • Processes all actions in SAP (work in collaboration with Academic Coordinator to enter visiting students in SAP).
  • Assists with ad hoc projects.
  • Completes room reservations.

Minimum Qualifications

  • High School diploma or GED.
  • Two years of relevant experience.

Preferred Qualifications

  • Demonstrated success in the ability to collaborate with all administrative levels in a university setting, and the ability to work effectively with students, staff and faculty.
  • Superior written oral and interpersonal communication skills, group presentation skills, and proven ability to work with diverse constituencies.
  • Demonstrated experience in successfully working in a complex, fast-paced environment.
  • Knowledge of MS Office suite o Prior experience with SAP not required but preferred.
