Summary

The Department of Anesthesiology is offering a highly motivated and competent professional the opportunity to serve as a Coordinator in a team-based clinical office setting with primary responsibilities for providing administrative support to clinical faculty and the clinical operations. The administrative support to faculty includes credentialing, faculty onboarding, document and presentation preparation, assisting with travel and expense reporting, and academic functions. The administrative support for clinical operations includes daily schedule activities, phone assignments, routing of calls and information gathering and distribution, and assisting with the recruitment and onboarding of faculty. The position requires a person able to work well within a team environment and with a willingness to assist a team member when needed. 

The successful candidate will have exceptional communication skills, both written and verbal, be regarded as a team player, have strong and proven organizational skills, and have a personal drive to be their best. Experience working with Microsoft Office tools (e.g. Word, PowerPoint, Excel), Epic EHR, Citrix Portal, HIM and OpenTempo or QGenda (or similar clinical scheduling software) strongly preferred. Previous work experience in an academic medicine environment is a bonus. 

The Department of Anesthesiology at Baylor College of Medicine is focused on patient care and research in all aspects of the specialty including critical care, postoperative cognitive dysfunction, simulator-based anesthesiology education, obstetric anesthesia and pain management.

This position is located at Ben Taub General Hospital, in the Texas Medical Center. 

Job Duties

50% - Administrative Coordination and Support

-    Provide administrative coordination to assigned faculty and resident trainees, as outlined in the Coordinator Support Tiers document of the department 
-    Prepare meeting agendas, take meeting minutes and draft meeting minutes
-    Answer clinical department main phone line, screen and take telephone calls, route messages, maintain appropriate contact lists; coordinate faculty calendars with other Coordinators in the department and with affiliated hospital coordinators
-    Obtain necessary signatures on vital documents and deliver to appropriate personnel
-    Process incoming and outgoing mail
-    Manage conference rooms, assist in planning and organizing special events within the department or with other facility department coordinators
-    Support multiple functions in the clinical scheduling software (e.g. QGenda, OpenTempo)
-    Collaborate with lead faculty schedulers for implementing best practice in the scheduling software, to enable timely and useful reporting from the application


30% - Credentialing Support
-    Provide credentialing support of new faculty providers and locum tenens / temporary providers 
-    Responsible for assigned faculty by coordinating, monitoring and maintaining up to date recredentialing re-appointments in the department

10% - Faculty Recruitment and Onboarding
-    Assist in the coordination of new department and divisional medical staff recruitment
-    Coordinate appointments for interviewees with interviewing faculty
-    Prepare Interview file for the interviewing faculty and manage interview process

10% - Academic
-    Assist faculty by pulling articles when working on book chapters or publishing articles
-    Assist faculty or student with requests
 

Minimum Qualifications
  • High School diploma or GED.
  • Two years of relevant experience.
Preferred Qualifications
  • Bachelor’s degree
  • Proficiency in Microsoft Word, PowerPoint, and Excel
  • Communications and writing experience
  • Experience working in an academic medicine environment
