Job Purpose

Performs general administrative duties, including scheduling meetings, maintaining calendars, preparing documents, making travel arrangements and ordering supplies.

Job Duties

• Plans, organizes, and coordinates administrative operations.
• Schedules and arranges department and committee meetings including the preparation of meeting notices, agendas and minutes.
• Updates course syllabi, schedules lectures, provides administrative support for educational activities.
• Plans seminars, takes care of room reservations, announcements, catering, AV support.
• Coordinates annual symposium and other scientific meetings.
• Monitors and maintains control of expenditures within budgets.
• Makes travel arrangements for visiting speakers, processes reimbursements and bills for payment.
• Assists in report preparation and in responding to inquiries.
• Coordinates procurement of equipment and supplies.
• Assists in the preparation of the annual budget and/or grant applications and maintains the current status of the same with respect to funds available and obligated.
• Coordinates the collection of information or the preparation of reports and compiles or supervises the compilation of data for serves as a liaison with other departments on policies, procedures, and practices.
• Coordinates social media activities of the institute.
• Reports directly to the top administrator in the department.

Minimum Qualifications
  • Required: High School diploma or GED.
  • Required: Two years of relevant experience.
