Summary

The mission of the Office of the Registrar and Office of Financial Aid is to provide professional and courteous service to learners, alumni, faculty, and staff for all academic schools forming the educational community at Baylor College of Medicine. The Office of the Registrar and Office of Financial Aid ensures that it dedicates its resources to promoting the mission, vision, and values of Baylor College of Medicine. The offices work closely with the offices of Admissions, Student Affairs, and Alumni Relations. The Office of the Registrar and Office of Financial Aid is seeking a qualified candidate for the Coordinator, Business Operations position. Day-to-day operations may be managed by the Assistant Registrar; however, all staff report to the Director, Academic Services & Registrar.

Job Duties

  • Manages the Office of the Registrar & Office of Financial Aid main telephone line and voicemail in a courteous and professional manner
  • Greets all visitors (students, staff, faculty, etc.) in a friendly and welcoming manner.
  • Triages visitors to the appropriate office(s), and redirects when needed.
  • Actively participates in ensuring the office meets goals and metrics for the year (e.g., timeliness of processing, helpfulness of staff).
  • Makes deposits for any monies received by the Office of the Registrar & Office of Financial Aid (e.g., duplicate diploma orders, transcript request fees, etc.)
  • Manages the Office of the Registrar general email inbox.
  • Processes forms submitted to the Office of the Registrar general email inbox.
  • Manages the calendar for the Director, Academic Services & Registrar, along with scheduling meetings, setting up zoom, etc.
  • Maintains office orders for supplies for the Office of the Registrar & Office of Financial Aid (letterhead, transcript paper, envelopes, etc.)
  • Distributes mail on a daily basis and redirects mail when needed.
  • Manages all other finance-related matters for the Office of the Registrar & Office of Financial Aid (e.g., budget, check requests, and reimbursements)
  • Completes room reservations and organizes meetings, office retreats, functions, etc. 
  • Performs other duties as needed by the Office of the Registrar & Office of Financial Aid.

 

Student Records Work

  • Notarizes documents as needed.
  • Processes all enrollment verifications (paper, Federal Credentials Verifications Services (FCVS), International Medical Graduates (IMG), National Student Clearinghouse (NSC), MIDUS, etc.)
  • Manages ad hoc inquiries from the National Student Clearinghouse
  • Processes general record updates (e.g., address, name changes, visa updates, SSN updates, etc.)
  • Manages processing for all forms that are submitted to the Office of the Registrar in a timely manner (e.g., licensure requests, How May We Help, etc.)
  • Maintains log of time to completion for all requests and filing system for requests
  • Processes all actions in SAP (work in collaboration with Academic Coordinator to enter visiting students in SAP)
  • Assists with ad hoc projects.

Minimum Qualifications

  • High School diploma or GED.
  • Two years of relevant experience.

Preferred Qualifications

  • Bachelor's Degree.
  • Higher education experience and administrative office/office management experience.
