Job Duties
- Prepares and processes purchase orders using Jaggaer for administrative staff and if necessary, for research labs.
- Prepares and process purchase orders using Jaggaer for new subcontracts on research grant projects, including the process for getting invoices approved and posted.
- Submits quotes for contract review and approval as needed.
- Works with Purchasing, research labs and vendors to help clear blocked invoices/encumbrances in Jaggaer and in SAP.
- Assists research labs with tracking down missing orders.
- Processes multiple types of journal vouchers in SAP.
- Submits Facilities Work Orders for common departmental supplies, repairs, etc.
- Assists department Lab Director with monitoring liquid nitrogen tank orders and monitors invoicing for those orders.
- Maintains a department credit card used for multiple types of purchases including monthly reports allocating expenses in Concur.
- Maintains office supply inventory.
- Maintains door key inventory for all department lab, common area and office doors.
- Monitors Iron Mountain service for sensitive/confidential document disposal.
- Distributes departmental mail.
- Handles incoming department phone calls for main office.
- Maintains professional front office area appearance.
- Assists in organizing and coordinating special departmental events.
- Performs other job-related duties as assigned.
Minimum Qualifications
- High School diploma or GED.
- Two years of relevant experience.
Preferred Qualifications
- At least 2 years of clerical experience preferred.
- Proficiency in Microsoft Word, Excel, Outlook and Teams as well as having overall excellent computer skills.
- Excellent customer skills.
- Good communication skills, both verbal and written.
- Self-motivated and team player.
