Summary
The Division of Diabetes & Endocrinology at Baylor College of Medicine is seeking a highly organized and proactive Coordinator, Business Operations to support the day-to-day administrative needs of the division. This role requires exceptional communication skills, attention to detail, and the ability to manage multiple priorities in a dynamic environment.
Job Duties
Coordinates the day-to-day front desk business operations for the Division including:
- Provides administrative support to faculty.
- Manages travel and expense reimbursement in Concur in alignment with BCM and Division guidelines.
- Prepares memos, general correspondence, spreadsheets, and power point presentations, as needed.
- Manages daily mail run and distribution to all campuses.
- Troubleshoots facilities, telecom, copier and IT issues.
- Prepares and process office and coffee supply orders, purchase orders and contracts, ensuring all transactions comply with institutional guidelines.
- Maintains updates to finance tracking tool.
- Tracks maintenance and renewals for office equipment.
- Calendar scheduling and maintenance.
- Assists the Department Administrator with time keeping for the division, monthly reconciliation and other tasks.
- Performs other job-related duties as assigned.
Minimum Qualifications
- High School diploma or GED.
- Two years of relevant experience.
Preferred Qualifications
- Strong technical skills in Microsoft Word, Excel, PowerPoint.
- Strong organizational and time management skills, with the ability to handle multiple tasks and priorities.
- Ability to work independently and as part of a collaborative team
