Summary

The School of Health Professions is seeking a Coordinator, Business Operations for the Cardiovascular Perfusion Program who will be responsible for assisting the Program Director of in leading specific administrative efforts related to course evaluation, clinical case rotations and simulation lab management. The Coordinator, Business Operations is responsible for interfacing with school and college business operations offices and leads, students, faculty, and prospective candidates, managing student onboarding and clinical affiliate paperwork, updating expense reports and budget planning, ordering supplies and materials, room reservations, and clinical placement administrative needs. The Coordinator, Business Operations provides both academic faculty and student facing support serving as the institutional liaison with organizations, agencies, and individuals where students receive clinical experiences. The Business Operations Coordinator will work closely with the Program Director on day-to-day planning, development, and evaluation of clinical sites, as well as arranging clinical experiences that are consistent with course objectives. The Coordinator, Business Operations will work closely with the School Business Manager and Program Director to create reports related to budget and course evaluations. Additionally, the Coordinator is the primary party responsible for program event management, including catering and expense approval and reporting, and reimbursement.

Job Duties

  • Maintains new contracts/vendor setups and contract renewals.
  • Coordinates new clinical affiliation agreements and renewals with legal and leadership.
  • Maintains affiliate and clinical placement database with current preceptor and clinic contact information.
  • Documents student completion of assignments and preceptor assessments in Blackboard and /or Typhon.
  • Schedules guest lectures and tracks lecture exam progress
  • Sends out, collects data, and generates reports for faculty and course evaluations.
  • Assists students with onboarding requirements, drug screens, background checks, and documentation.
  • Handles student concerns or problems in an efficient and timely manner.
  • Conducts education verifications for graduates.
  • Supports the Director and senior faculty members with administrative duties.
  • Processes all reimbursements for students' onboarding requirements.
  • Keeps the Registrar updated with clinical placements and locations.
  • Coordinates and supports on-campus event management (graduation, special events, program tours).
  • Works with the SHP business manager and Program Director on budgeting and expense tracking.  
  • Maintains expense POs and expense reports for program expenses. Including travel coordinator for scholarly activity, affiliate visitiation, and offsite meetings.
  • Performs other job-related duties as assigned. 

Minimum Qualifications

  • High School diploma or GED.
  • Two years of relevant experience.

Preferred Qualifications

  • Associate or bachelor’s Degree.
  • Experience with Learning Management Systems (Blackboard), Typhon, and Thalamus.
  • High proficiency with Microsoft Teams/SharePoint and Microsoft Office Suite (Excel, Word, and PowerPoint.
  • Excellent communication skills, both written and verbal.
  • Ability to maintain confidentiality and discretion.
