Summary
The Department of Medicine at Baylor College of Medicine is seeking a detail-oriented and highly adaptable Coordinator, Business Operations to provide administrative, operational, and event support across the department’s core missions. This position serves as a backup to the Senior Executive Support Coordinator for the Chair and provides dedicated support to the Vice Chair groups, as well as department-wide initiatives and events. The ideal candidate will be organized, proactive, and comfortable working across executive support and business operations functions as part of a central team that supports department leadership.
This position may offer the flexibility of a hybrid work schedule after an initial training period.
Job Duties
- Provides backup executive support for the Chair of the Department of Medicine, including managing a high-volume, dynamic calendar and day-to-day logistics of the chairman's office.
- Provides administrative support including scheduling and event planning for Departmental Vice Chair groups and departmental initiatives.
- Contributes to department-wide events by coordinating logistics, managing vendor relations, and supporting communications.
- Serves as a cross-functional team member on department level operational issues, projects, and functions.
- Participates in process improvement initiatives and projects at the department level.
- Drafts and edits communications and presentations for department leadership, Vice Chairs, and special projects.
- Trains and mentors other support staff in the department
- Provides administrative support to the Chair and Vice Chair Groups (VCGs), including scheduling, meeting coordination, and document preparation across departmental missions (research, education, clinical care).
- Overseea central mail handling for the department, ensuring important materials are routed promptly and unnecessary correspondence is filtered out.
- Supports travel arrangements, expense submissions, and procurement processes for the Chair.
- Supports the central team in various administrative duties, collaborating on department-wide initiatives, and serving as a backup for the Senior Executive Support Coordinator.
- Performs other job-related duties as assigned.
Minimum Qualifications
- High School diploma or GED.
- Two years of relevant experience.
Preferred Qualifications
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with scheduling tools (e.g., Microsoft Teams, Zoom).
- Strong organizational skills, attention to detail, and ability to prioritize tasks in a fast-paced environment.
