Summary

The Coordinator, Academic Services provides administrative support for academic support programs, functions, and activities within the School of Medicine, Graduate School of Biomedical Sciences, and School of Health Professions, in addition to learners in non-degree granting programs. The candidate will support the Academic Success Center’s programs and initiatives by coordinating staff and student schedules, sending professional communications, tracking the Center’s financials, maintaining excellent condition of student spaces on campus, and performing other administrative duties. 

Job Duties

  • Maintains the online scheduling platform for academic advising and tutoring appointments and addresses technical issues in a timely fashion.
  • Schedules meetings and appointments for the Academic Success Center Sr. Associate and Associate as requested.
  • Assists with updating and maintaining websites and other communications tools (e.g., brochures, flyers, etc.).
  • Creates advertisements for various Academic Success Center related events and assist with distributing information on campus.
  • Books rooms and makes other necessary accommodations for on-campus workshops, lectures, and meetings for Academic Success Center leadership and staff.
  • Maintains excellent condition of Academic Success Center study spaces and the student lounge by regularly tending to printer function, cleanliness of the area, stocking of office supplies, etc. and submit work order requests as needed.
  • Assists with the training and oversight of student workers.
  • Assists with creating purchase orders, check requests, and budget tracking for cost centers.
  • Orders supplies and materials as requested and coordinates deliveries.
  • Tracks relevant data on academic advising appointments and workshop attendance (e.g., utilization rates, attendance).
  • Generates surveys and reports and/or summarize data.
  • Greets office visitors and directs to the appropriate staff member in our suite. 

Minimum Qualifications

  • High School diploma or GED.
  • Two years of relevant experience.

Preferred Qualifications

  • Bachelor’s degree in business administration, finance, human sciences/humanities, education, or a related field. 
  • Three to five years of experience with: 
    • Managing budgets and/or finances for a department.
    • Office 365 (e.g., PowerPoint, Teams, Word, SharePoint).
    • Survey Monkey
  • Professional communication skills.
