Title: Business Operations Specialist
Summary
The Center for Space Medicine (CSM) is seeking a self-starting and impactful Business Operations Specialist to execute daily administrative operations for the Translational Research Institute for Space Health (TRISH).
Job Duties
• Performs the day-to-day operations for the Institute including support of human resources, compliance, and finance team. Report/escalate internal/external issues to leadership as needed. As appropriate, suggest/implement solutions.
• Reviews and submits expenses and take action on invoices as needed. Manage TRISH administrative needs including vendor management, travel, and credit card charges. Track relevant Institute expenses and allocate them monthly.
• Submits trip requests, performs travel arrangements, and completes expense returns for TRISH Leadership via the Concur travel platform.
• Orders and tracks purchases including research supplies for use on commercial space missions and other office items.
• Leads event planning for virtual and in-person workshops and board meetings. Ensures proper documentation is in compliance with federal requirements for Institute actions within meetings. Ensures proper documentation through meeting minutes and actions.
• Develops processes and procedures to ensure seamless execution of work across the Institute.
• Ensures the ongoing review and development of process improvements to maximize business productivity.
• Assists with TRISH solicitation/award related tasks in support of TRISH faculty and staff members. Drafts and edits documents supporting Science and Leadership team, including reports, PowerPoint presentations, agendas, and business letters.
• Develops and prepare reports for external stakeholders, general budget allocations, and other funding.
• Responds to external inquiries about the Institute and trainee opportunities as well as assign inquiries to subject matter experts as appropriate.
• Confidently holds team members accountable.
• Possesses flexibility to rearrange priorities to assist with special projects as they arise.
Minimum Qualifications
- High School diploma or GED.
- Four years of relevant experience.
Preferred Qualifications
- Bachelor’s degree.
- Fluency with Microsoft Office including SharePoint, Teams, and Project.
