Summary
The Henry J.N. Taub Department of Emergency Medicine (EM) at Baylor College of Medicine is recruiting a Business Operations Associate to join the administrative team. This individual will provide support to the department by managing the day-to-day business operations of a department by performing and implementing financial, business operation, grant-related and some human resources activities as part of targeted program management assignments. EM serves the community by providing high-quality, compassionate emergency care to a diverse patient population. In addition, educating and mentoring the next generation of leaders in emergency medicine is a top priority of the department. This position offers the flexibility of a hybrid work schedule with weekly onsite days in the Texas Medical Center.
Job Duties
- Manages daily operational and financial tasks for the American Heart Association (AHA) program, which provides Basic Life Support (BLS), Advanced Cardiac Life (ACLS) Support and Pediatric Advanced Life Support (PALS) for 700+ learners annually in the BCM community. Coordinate with the AHA physician program director and student leaders to schedule classes, ensure sufficient instructor coverage, procure necessary supplies, and track worked hours for payment. This program budget us >$100K annually.
- Establishes staffing schedules for BLS/ACLS/PALS instructors, monitor account’s budget availability and ensure timely payment biweekly payments for the AHA program.
- Serves as primary overseer of 3rd party, Cvent, software for applicant course registration and program management.
- Creates monthly reports to track and analyzes faculty’s clinical productivity, presenting data to faculty and department leaders.
- Ensures the ongoing review and development of process improvements to maximize business productivity.
- Formulates policies and guidelines for the department activities, in collaboration with department leadership.
- Reviews confirms balances and pre-approve statements of accounts and invoice actions, as directed by department leadership.
- Develops, manages, and monitors assigned program budgets, leveraging financial data to ensure smooth operations. Owns reporting for operational systems to monitor, verify expenditures and carry out financial analyses on a monthly basis.
- Performs pre-award and/or post-award related tasks in support of department faculty members, may include invoicing for clinical trials and other department awards.
- May assist with or manage special projects, including reconciliation of department purchasing cards, ordering supplies/equipment, and maintaining expense trackers.
- May coordinate department meetings, events and other functions.
- Performs other job-related duties as assigned.
Minimum Qualifications
- Bachelor's degree.
- Two years of relevant experience.
Preferred Qualifications
- Proficiency in Microsoft Excel.
- Experience in financial reporting.
- Experience working in EMR (Electronic Medical Records)
- Prior experience in healthcare.
