The Business Operations Associate will be housed in the clinical division of the Dan L Duncan Comprehensive Cancer Center (DLDCCC) to manage day to day business operations for the DLDCCC Executive Medical Director, Oncology Service Line Chief of St. Luke's Texas Division, and Co-Associate Director of BCM Oncology Clinical Affairs. The Associate will contribute to the division's strategic direction by independently identifying, managing and resolving complex issues relating to business operations as the only BCM DLDCCC representative on the hospital campus. The Associate is also responsible for proactively recommending and executing process improvement projects approved for all assigned areas and initiating and performing high level business decision-making involving patient care and research advancement. The Associate must be able to quickly gain an excellent understanding of our complex organizational structures including the joint venture, other clinical operations, clinical research, philanthropic, educational and business areas.

Job Duties

  • Administers meetings, create communications, and manage calendar and Concur activity for DLDCCC leadership. Facilitate and triage in-person and electronic interactions with internal and external stakeholders including C-suite executives. Build and develop strategic relationships with clinical operations, clinical research, and administrative leaders.
  • Manages BCM communications with departments and central clinical functions of multiple institutions including 250+ staff and faculty operating on our hospital campus. Engage and manage communications effectively and efficiently with individuals and groups at all levels to ensure smooth business operations.
  • Manages BCM network access and BCM Epic access for interns, residents, fellows, and other non-BCM employees including hospital partners as our primary clinical delegate authority (CDA). Actively manages requests, changes, terminations and reactivations through the entire workflow which involves working with faculty, management of affiliated hospitals, and BCM IT help desk, Epic support, Epic training and Epic provider teams. Decipher if requests for access are justified, facilitate modifications as needed prior to granting approval, and ensure roles and security levels granted are consistently implemented.
  • Manages clinical telecom requests including access to e-faxes, shared mailboxes, listservs and distribution lists which are not based on department sections, specialties, functions or locations. Our multi-disciplinary operations consists of faculty and staff from multiple (sub)specialties, medical services and or ancillary services. Gather data needed then assess and approve requests and ensure appropriate ongoing access to confidential and strategic data.
  • Ensures BCM faculty compliance with Baylor Medicine and DLDCCC guidelines at our hospital campus as needed.

Minimum Qualifications

  • Bachelor's degree. 
  • Two years of relevant experience.

Preferred Qualifications

  • Demonstrated high level of initiative.
  • Two years of experience with joint ventures or matrixed/complex organizational structures.
  • Two years of experience directly supporting division management or executive leadership.
