Job Title:  BCM Temporary - Administrative Support

Salary Range:  $27 - $33 per hour
FLSA Status:  Nonexempt
Work Schedule:  Monday – Friday, 7:30 a.m. – 4:30 p.m.

Summary

The BCM Temporary - Administrative Support provides high-level administrative support to the Chair of the Department of Pediatrics and the Pediatrician-in-Chief. This role requires excellent organizational skills, attention to detail, and the ability to manage multiple priorities in a dynamic academic and clinical environment. The candidate will coordinate meetings, manage calendars, support project tracking, and assist with financial and event-related tasks to ensure smooth operations and effective leadership support.

 

This temporary position is not eligible for benefits. The maximum assignment length is three months.

Job Duties

  • Meeting Support
    • Takes detailed meeting minutes, proofreads, and distributes to relevant stakeholders as requested.
  • Calendar & Scheduling
    • Assists with calendar management, schedules meetings, books meeting rooms, and sets up virtual meetings.
  • Administrative Coverage
    • Provides backup support to the Pediatrician-in-Chief’s administrative staff during absences or high-volume periods.
  • Project Coordination
    • Offers basic project management support to help leaders stay on track with deadlines and deliverables.
  • Financial Transactions
    • Processes financial tasks such as membership renewals, purchases, and arranges catering for meetings and events.
  • Event Planning
    • Coordinates logistics for events including securing venues, submits contracts for approval, and ensures events meet the standards set by the Pediatrician-in-Chief.

Minimum Qualifications

  • High school diploma or GED.
  • Three years of relevant experience.

Preferred Qualifications

  • 5 years of administrative support experience.
  • Prior executive support experience.

Candidates must be legally authorized to work in the United States at the time of application and throughout the duration of employment. This position is not eligible for visa sponsorship.
