Summary
The Department of Ophthalmology is seeking a highly motivated and competent individual to fill the position of Associate Administrator. The selected candidate will evaluate and enhance business operations and research administration, while upholding fiscal integrity. This position is responsible for ensuring that departmental programs are delivered effectively, efficiently, and securely. This position will report directly to the Department Administrator and will serve as a leader, influential figure, and senior strategic advisor within the organization. In the absence of the Department Administrator, the Associate Administrator is expected to act with full authority. The candidate must demonstrate prudent judgment and possess the ability to quickly assess the Department to suggest improvements. This position may be eligible for an annual performance-based bonus.
The successful candidate will have exceptional communication skills, both written and verbal, and be regarded as a team player. Strong and proven change-management and leadership skills are essential, as are advanced financial analytical abilities. Experience working with Microsoft Office tools (such as Word, PowerPoint, and Excel), EHR, and ERP system experience are required.
Job Duties
Operations:
• Serves as a strategic resource for faculty, staff, and departmental leadership, contributing to the development and advancement of key priorities and initiatives.
• Collaborates with department leadership to establish a comprehensive framework for communicating and tracking key performance indicators and strategic metrics. This framework assesses current conditions, delineates pathways to future objectives, and reports project status relative to established milestones.
• Provides support for both short and long-term planning by facilitating the collection and validation of data essential for informed decision-making.
• Partners with the Department Administrator to design and implement an administrative structure that aligns with and supports departmental objectives.
• Works alongside the Department Administrator to develop departmental processes that adhere to College policies and enhance the employee experience.
• Coordinates activities to establish clear priorities, monitor ongoing progress, and integrate these priorities into organizational decision-making.
Financial Management:
• Manages financial activities such as grants, contracts, clinical funds, and others to ensure compliance with sound and generally accepted accounting practices.
• Promotes high standards and ensures staff and faculty comply with College financial management practices and policies.
• Reviews financial reports and offers actionable recommendations to the Department Administrator.
Human Resource Management:
• Holds supervisory authority over administrative employees, including responsibilities such as hiring, transferring, suspending, promoting, managing conduct and performance, terminating, assigning tasks, rewarding, disciplining, and approving hours worked.
• Collaborates with BCM Human Resource leaders to strengthen communication and align policies and programs with departmental implementation.
Research Administration:
• Oversees, in collaboration with the Department Administrator, pre-award and post-award programs.
• Provides advisory support to faculty through the grant life cycle.
• Partners with leadership to ensure compliance and effective use of resources.
Performs other job-related duties as assigned.
Minimum Qualifications
- Bachelor's degree.
- Five years of relevant experience including prior experience in a management role.
Department-specific Requirements
- Progressive Business Operations Leadership: Demonstrated advancement in business operations leadership roles, with a track record of driving strategic financial initiatives and operational excellence.
- Healthcare, Research, or Academic Medicine Finance: Deep understanding of financial operations within healthcare systems, research institutions, or academic medical centers, including funding models, compliance, and cost structures.
- Budget Development and Oversight: Expertise in developing, managing, and forecasting complex budgets across multiple departments or funding sources.
- Strategic Planning and Analysis: Ability to lead long-term financial planning, scenario modeling, and data-driven decision-making to support institutional goals.
- ERP and Financial Systems Expertise: Proficiency in financial systems and tools and data analytics platforms.
- Regulatory and Compliance Knowledge: Familiarity with federal, state, and institutional regulations governing healthcare and research finance (e.g., NIH, CMS, Uniform Guidance).
- Stakeholder Engagement and Communication: Proven ability to collaborate with executive leadership, department heads, and external partners to align financial strategy with organizational priorities.
- Team Leadership and Development: Experience building and mentoring high-performing finance teams, fostering a culture of accountability and continuous improvement.
- Grants and Sponsored Programs Management: Working knowledge of grants management, including pre-award and post-award processes, regulatory compliance, and financial reporting.
Preferred Qualifications and Skills
- Master’s degree in business or healthcare administration, finance, accounting.
- Epic EHR and SAP S/4 Hana.
