Title:  Assistant Director of Gift and Estate Planning

Summary

Acts as the primary administrator and coordinator of program components which includes philanthropic data analytics, events, and special projects to advance the planned giving program.  Reports directly to Senior Director of Gift and Estate Planning.
 

Job Duties

  • Works alongside the Senior Director of Gift and Estate Planning to provide new member introduction and create welcome strategies.
  • Works with the stewardship team to develop and support annual stewardship strategies.
  • Works with the OIAAA Events team to develop a special events concept design and remain a point of contact. 
  • Gathers collateral material concept designs and is a point of contact for all Jaworski Society members. 
  • Facilitates and schedules collateral materials, mailings, will kits, and other content as needed for a robust marketing  and acquisition planned giving program.
  • Interfaces with philanthropic data analytics administration to test and produce lists for mailings, events, and special projects to advance the planned giving program.
  • Supports external vendors that interface directly with pre-qualified BCM prospects for confidential estate planning and development that leads to gift identification.
  • Maintains a comprehensive vendor list, and actively maintain associated business relationships with industry experts that assist with client estate planning, both in an advisory capacity and/or in direct transactional relationships with donors making, or considering planned gifts to BCM.
  • Facilitates and maintains a relationship with BCM’s Marketing Department regarding brand management, planned giving communications, and other related materials. 
  • Collects and maintains paperwork for closure and transmittal of planned gifts to BCM. This includes obtaining required paperwork from outside financial institutions and working with the Director of Planned Giving to submit the finalized paperwork to claim funds. 
  • Works with BCM Department of Finance, Legal Counsel, and other relevant BCM departments to fulfill paperwork requirements to claim estate or planned gifts.
  • Contacts donors to confirm donor intentions of DAF and IRA gifts. 
  • Works with BCM Departments to process and deliver gifts-in-kind. 
  • Serves as a liaison with BCM Department of Finance, Legal Counsel, and other relevant gift accounting experts to accurately record and maintain a systemized approach to planned giving record keeping, tracking, and gift administration.
  • Prepares and presents reports that assess program strengths, opportunities for improvement, and longitudinal progress over time.
  • Uploads, maintains and updates digital archives of documentation of recorded planned gifts and other relevant paperwork. 
  • Maintains planned giving records, both digital and manual.
  • Serves as a liaison with BCM’s outside financial brokers, BCM Department of Finance, and Advancement Services to record and acknowledges donations of stock and direct wire deposits. 
  • Researches and assists in the development and presentation of programs that increase awareness of gift planning techniques, strategies, and opportunities for internal and external audiences.  
  • Works with the Director of Planned Giving and Executive Leadership by preparing them for donor meetings. 
  •  Attends meetings, conferences, seminars, and special training sessions (when appropriate). 

Minimum Qualifications

  • Bachelor's degree.
  • Two years of relevant experience.

Preferred Qualifications

  • Experience and knowledge of Gift and Estate Planning
  • Experience with Raiser's Edge and/or PG Calc

Other

This position will initially work remotely with occasional in-office visits as needed. Once normal operations resume, this position will work on-site only.
