The Assistant Director Analytics and of Philanthropic Gift Operations requires demonstrated knowledge of gift processing and IRS guidelines, a comprehensive understanding of fundraising operations, and data analytics. Will ensure accurate and timely compliance with established policies for recording and acknowledging philanthropic contributions to Baylor College of Medicine. Will also ensure the proper reporting and analytics are used to track contributions to Baylor College of Medicine.  The Assistant Director must maintain operation and integrity of the organization’s fundraising information management system.  This includes maintaining donor database and designing and providing analytical reports and information support needed for fundraising activities. Reports directly to the Senior Director of Philanthropic Operations.


Job Duties

  • Manage philanthropic gift processing workflow to ensure accurate handling and recording of all philanthropic contributions to the College. Serve as liaison with the Accounting, Treasury, and Finance departments to ensure proper recording of all contributions.
  • Ensure donors are acknowledged in an accurate and timely manner through creation and distribution of tax receipts, acknowledgement letters and tribute cards.
  • Perform ongoing accounting procedures, including daily online donation imports, gift batch review, monthly and year-end reconciliation, and reporting.
  • Act as Advancement department resource for financial questions regarding gifts, funds, endowments, gift agreements, pledges, and recurring gifts.
  • Design and produce reports for all College departments and leadership for fundraising evaluation, planning, and donor solicitation using Raiser’s Edge, Excel, SKY Reporting and Tableau. Provide analysis based on data as requested.
  • Design and produce lists for mailing, prospect evaluation, fundraising reporting using Raiser’s Edge.
  • Perform data imports of constituent data including contact records, prospect research, education, employment, endowment, and scholarship information using ImportOmatic. 
  • Create standards, processes, and procedures to ensure data integrity and database efficiency.
  • Ensure data access across processes is secure and follows HIPAA compliance standards.
  • Troubleshoot fundraising software errors related to the systematic processing of contributions.
  • Test and deploy fundraising software upgrades/enhancements; provide staff support through implementation.
  • Provide cross-training to Advancement team to process and acknowledge donations securely and accurately.

Minimum Qualifications

  • Bachelor's degree.
  • Two years of relevant experience.

Preferred Qualifications

  • Extensive experience using MS Office Suite with an emphasis on Excel.
  • Three years of experience managing gift processing or financial accounting operations.
  • Three years of experience managing a Blackbaud Raiser's Edge database.
  • Experience using ImportOmatic, Papersave, Luminate Online, ResearchPoint, SKY Reporting and/or Tableau.
  • Demonstrated knowledge of prospect research, with specific experience in research techniques, resources, written communications, and profile production.
  • Demonstrated knowledge of nonprofit fundraising strategy and operations.
