Summary
The Graduate School of Biomedical Sciences (GSBS) provides the resources, opportunities, collaborative and innovative research environment, support, mentorship, and education for students to reach their full potential as a leader in biomedical science and is seeking a Coordinator, Business Operations to provide customer service and support by processing purchases orders, check requests, cash receipts, managing travel and reimbursements, and assisting with special projects. The ability to independently manage multiple tasks and projects with competing priorities and deadlines and organize and maintain administrative processes is essential to this position.
This is a Hybrid position; 3 days onsite and 2 days remote.
Job Duties
• Processes tuition reimbursement journal entries and maintain tuition tracking files.
• Composes routine letters and correspondence, creates PowerPoint presentations, spreadsheets, and prepares other documents.
• Coordinates the BRASS Scholarship Applications and tracking process.
• Processes check requests, journal entries, and cash deposits in SAP. Orders office supplies and process purchases orders and contracts in Jaggaer.
• Processes pre-travel authorizations and manages travel arrangements and reimbursements in Concur.
• Maintains department’s computer equipment inventory list and provides technical assistance to GSBS staff and faculty for individual and shared office equipment inspections, setup, and troubleshooting. Submits requests to remove obsolete and broken equipment, contacts IT, and process facilities work requests. Serves as a liaison with supply chain, accounts payable/receivable to ensure timely and efficient processing of orders and payments.
• Monitors the graduate schools finance email alias and respond as appropriate.
• Assists staff and faculty with reimbursements, data entry, report preparation, and creating and maintaining spreadsheets.
• Serves as backup preparer and contact for the dissertation binding process.
• Performs other job-related duties when requested.
Minimum Qualifications
- High School diploma or GED.
- Two years of relevant experience.
Preferred Qualifications
- Microsoft Excel Experience.
