Summary

The Department of Anesthesiology at Baylor College of Medicine is currently seeking a highly motivated and competent professional to work as a Senior Coordinator in a team-based clinical office setting. The primary responsibilities of this role are to provide administrative support to clinical faculty and operations. This administrative support includes credentialing, faculty recruiting, onboarding, assistance with travel and expense reporting, and other academic functions. Additionally, this position requires the coordination of daily schedule activities, phone assignments, routing of calls, information gathering and distribution. The ideal candidate for this role must possess excellent team-working skills and be willing to assist team members when required.

 

 This position may offer the flexibility of a hybrid work schedule after an initial training period.

Job Duties

Administrative Coordination & Support

  • Coordinates faculty travel arrangements and processes travel and expense reports through Concur.
  • Maintains and tracks CME/CEU balances for assigned faculty.
  • Serves as the primary contact for the department's main phone line by:
    • Answering and screening incoming calls.
    • Routing messages to appropriate personnel.
    • Maintaining accurate department contact lists.
  • Coordinates faculty calendars and scheduling activities with departmental coordinators and affiliated hospital partners.
  • Obtains required signatures on critical documents and ensure timely delivery to appropriate stakeholders.
  • Manages administrative tasks including:
    • Filing and document management.
    • Faxing and correspondence preparation.
    • Mail retrieval and distribution at BTGH.
  • Performs additional administrative and operational duties as assigned.

Credentialing Support

  • Provides credentialing support for:
    • New faculty providers.
    • Locum tenens and temporary providers.
  • Coordinates, monitors, and maintains recredentialing and reappointment activities for assigned faculty.
  • Ensures credentialing records remain current and compliant with institutional requirements.
  • Collaborates with internal and external stakeholders to resolve credentialing-related issues.
  • Assists with other credentialing functions and special projects as assigned.

Faculty Recruitment & Onboarding

  • Assists with the coordination of faculty and departmental recruitment activities.
  • Schedules and coordinate interviews between candidates and faculty members.
  • Supports onboarding efforts for newly hired faculty and providers.
  • Facilitates communication among candidates, department leadership, and key stakeholders throughout the recruitment process.
  • Assists with other onboarding and recruitment-related activities as needed.

 

Minimum Qualifications

  • High School diploma or GED.
  • Two years of relevant experience.

Preferred Qualifications

  • Experience supporting physicians, faculty, or healthcare providers in a clinical setting.
  • Proficiency in Microsoft Office Suite, particularly Outlook, Excel, Word, and PowerPoint.
  • Experience with Concur, credentialing systems, and calendar management.
  • Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment.
  • Excellent communication and customer service skills with a collaborative approach to supporting faculty and staff.
  • Communications and writing experience.
