Summary
As one of the largest Pediatric Pulmonology Divisions in the country and consistently in the USNWR top 5 Pediatric Pulmonology programs in the country, the Baylor/Texas Children's Hospital office is looking for a candidate that will support our growing faculty group and clinical programs as a Coordinator, Business Operations. This position will provide administrative support to several sub-subspecialty programs to include credentialing, onboarding, document preparation, scheduling, and travel. The candidate will also be a part of the administrative team and provide phone coverage, calendar scheduling and other academic functions. An ideal candidate should have excellent organizational and interpersonal skills.
Job Duties
Performs administrative duties to support the operations of the sub-subspecialty programs
* Provides administrative support the assigned faculty and their programs, to include maintaining calendars, scheduling meeting, finding meeting locations, attending meetings, creating agendas and taking notes, creating documents and/or presentations and participating in team huddles.
* Ensures faculty are completing all required trainings and certifications and renewing their medical license and DEA.
* Coordinates faculty recruitment interviews to include, scheduling appointments, ordering and making meal arrangements, preparing travel and hotel for candidates and reviewing and summarizing evaluations.
Manages domestic and international travel and reimbursements for faculty.
* Serves as travel arrangers for faculty travel for conferences, prepare reimbursements for travel and other expenses in the institutions' travel systems.
Assists in maintaining credentialing for hospitals and billing
* Coordinates, monitors and maintains faculty credentialing with hospital and billing departments is up-to-date and will prepare reappointments for signatures.
* Maintains a record of requirements for credentialing (i.e. CME, CEU, procedure case logs, etc.)
General administrative support
* Answers department main phone line, screen and route telephone calls, assist in maintaining contact list updates
* Assists with department mail when assigned
* Assists with planning and organizing special events within the department
* Performs other job-related duties as assigned.
Minimum Qualifications
- High School diploma or GED.
- Two years of relevant experience.
Preferred Qualifications
- Prior administrative support experience.
- Fluency in Spanish.
