Summary
The Department of Psychiatry & Behavioral Sciences is seeking a Coordinator, Business Operations. This position will provide administrative support to the Central Operational Support Hub - COSH, and Child Psychiatry Access Network (CPAN) initiatives. The selected candidate will report directly to the COSH-CPAN Program Administrator, providing high level coordination and execution on administrative tasks from the grant funded initiative. Day to day duties will include coordinating and processing calendar activities, meeting minutes, ordering, and processing invoices.
Job Duties
- Assists in coordinating and organizing work groups.
- Provides support in coordinating various tasks related to COSH and CPAN initiatives.
- Manages the procurement and distribution of CPAN merchandise.
- Coordinates CPAN's participation in conferences.
- Manages and facilitates purchases for COSH and CPAN.
- Streamlines procurement processes and ensures efficient resource allocation.
- Maintains organized files and documents related to the programs.
- Attends, and maintains meeting minutes for approximately 30 meetings per month.
- Composes and send meeting minutes to appropriate personnel across a dozen institutions.
- Maintains the Central Operational Support Hub event calendar.
- Coordinates with sites and team members to schedule weekly, monthly, and quarterly meetings with program leadership.
- Creates and shares PowerPoint and Excel presentations based on information provided by the Medical Director and team members.
- Maintains files and documents related to the programs.
- Tracks contract routing and reporting for program.
- Provides daily updates to Medical Director and team members.
- Monitors Central Operational Support Hub email account, directs emails as needed.
- Coordinates purchasing orders and materials.
- Drafts communication send outs to various program sites.
- Performs other administrative duties as assigned.
Minimum Qualifications
- High School diploma or GED.
- Two years of relevant experience.
Preferred Qualifications
- Bachelor's Degree.
- Excellent organization skills.
- Proficient skills in written communication.
