Salary Range:  $47,372 - $56,200
FLSA Status:  Nonexempt
Work Schedule:  Monday – Friday, 8 a.m. – 5 p.m.

Summary

The Division of Diabetes & Endocrinology at Baylor College of Medicine is seeking a highly organized and proactive Coordinator, Business Operations to support the Chief of the division.  The Coordinator will provide day-to-day administrative support, ensuring efficient and effective operations. This role requires exceptional communication skills, attention to detail, and the ability to manage multiple priorities in a dynamic environment.

Job Duties

• Manages the Division Chief’s calendar, including scheduling meetings, coordinating appointments, and resolving conflicts.  Manages division event calendar.
• Prepares memos, meeting agendas, general correspondence, graphs, and power point presentations. Proofread documents for distribution.
• Updates CV and general files for the Chief.
• Handles time off requests and travel arrangements, including booking flights, accommodations, and preparing detailed itineraries.
• Manages coordination of multiple division-wide meetings, initiatives and events, including taking minutes and distributing follow-up materials.
• Manages all logistics of faculty recruitment, including coordinating travel arrangements, scheduling interviews, evaluations and maintaining recruitment database. 
• Coordinates job postings, payments and updates for all faculty positions on the Pediatric Endocrine Society website.
• Actively contributes to a positive and collaborative work environment within the division.
• Performs other administrative duties as assigned.
 

Minimum Qualifications

  • High School diploma or GED.
  • Two years of relevant experience.

Preferred Qualifications

• Administrative work experience.
• Ability to work independently, have good communication and organizational skills.
• Working knowledge of Microsoft applications.
