Salary Range:  $47,372 - $52,000
FLSA Status:  Nonexempt
Work Schedule:  Monday – Friday, 8 a.m. – 5 p.m.

Summary

The Department of Molecular and Cellular Biology is seeking an enthusiastic and detail-oriented coordinator to support the day-to-day operations of the department. This dynamic role will involve coordinating seminars, planning events, and providing essential administrative assistance across various functions. The ideal candidate will be highly organized, proactive, and able to manage multiple tasks in a fast-paced, team-oriented environment.

Job Duties

Seminar/Event Coordination:
• Organizes and manages all aspects of recurring weekly and monthly seminars/events, including
• Coordinates all travel arrangements including booking flights, hotel accommodations and ground transportation.
• Oversees catering arrangements, including selecting vendors, placing orders, coordinating setup, and ensuring orders
are accurate and within budget.
• Creates detailed itineraries by working with faculty and internal/external stakeholders.
• Prepares presentations and printed materials, as needed.
• Communicates seminar/event details externally and internally through various communication channels.
• Places all room reservations, related facility work orders and A/V requests.
• Processes all seminar/event reimbursements in a timely manner.

 

Administrative Support: 
Coordinates the day-to-day business operations for the Department including:
•Assists the Department Administrator and Business Operations Supervisor with managing calendars, preparing reports, and supporting special projects, as needed.
•Prepare and process purchase orders, check requests, invoices, and reimbursements, ensuring all transactions are in compliance with various institutional guidelines.
•Orders lab and office supplies as needed.
•Oversee minor updates to the departmental website, ensuring content is current and accurate.
•Performs other job-related duties as assigned.

Minimum Qualifications

  • High School diploma or GED.
  • Two years of relevant experience.

Preferred Qualifications

• Strong organizational and time management skills, with the ability to handle multiple tasks and priorities.
• Excellent communication skills, both written and verbal.
• Proficiency in Microsoft Office Suite and familiarity with basic web content management.
• Ability to work independently and as part of a collaborative team.
