Salary Range:  $47,372 - $55,731
FLSA Status:  Nonexempt
Work Schedule:  Monday – Friday, 8 a.m. – 5 p.m.

Summary

The Division of Diabetes & Endocrinology at Baylor College of Medicine is seeking a highly organized and proactive Coordinator, Business Operations to support the day-to-day administrative needs of the division. This role requires exceptional communication skills, attention to detail, and the ability to manage multiple priorities in a dynamic environment.

Job Duties

Coordinates the day-to-day business operations for the Division including:

  • Provides administrative support to faculty including scheduling meetings, tracking time off requests and updating on BCM’s policies and procedures.
  • Manages travel and expense reimbursement in Concur in alignment with BCM and Division guidelines.
  • Prepares memos, general correspondence, spreadsheets, and power point presentations, as needed.
  • Manages daily mail run and distribution to all campuses.
  • Troubleshoots facilities, telecom, copier and IS issues.
  • Prepares and processes office and coffee supply orders, purchase orders and contracts, ensuring all transactions comply with institutional guidelines.  Maintain updates to finance tracking tool. 
  • Manages room reservations for touchdown space.  
  • Assists with onboarding faculty and staff, as needed. 
  • Assists the Department Administrator with timekeeping for the division, preparing reports, and supporting special projects, as needed.
  • Performs other job-related duties as assigned.
     

Minimum Qualifications

  • High School diploma or GED.
  • Two years of relevant experience.

Preferred Qualifications

  • Strong technical skills in Microsoft word, excel, ppt Strong organizational and time management skills, with the ability to handle multiple tasks and priorities.
  • Ability to work independently and as part of a collaborative team.
